Verify that the information on every employee's W-2 and contractor's 1099 is correct using the W-2 Preview. It's a single report that shows you the W-2 and 1099 information of every worker you paid during the year, to make it easy for you to confirm or change this information before sending any forms. This is a recommended audit at the end of each year.
Has the employee's home address changed?
If an employee's home address is incorrect on their W-2 because it has changed during the year, this does not require any correction on their Form W-2. However, if you've selected the "Direct Mail" delivery method, note that forms are shipped to address as listed in employee profiles in OnPay.
View W-2 information in employee profiles
Click the employee's profile in your dashboard, or click their name in the Workers tab.
Click History, then W-2.
Select the year to review the wage and tax information for this employee.
Click the Download button at the bottom of the summary to save this form to your computer.
Viewing and printing Forms W-2 and 1099
You can view and print all your employee and contractor W-2s and 1099s in Payroll Filings. To get there, go to Payroll>Filings>Payroll Filings in the side menu.
Select the tax year for these forms.
Self print universal
Click W-2 (Self Print) Universal to create a printable batch of all employees W-2s. Or, click 1099 (Self Print) Universal to create a printable batch of all contractor 1099s.

You can also preview verify W-2 and 1099 information for all employees and contractors at once in a single report called the W-2 Preview. This is a recommended audit at the end of each year.
Once OnPay has created the downloadable file, a new window will appear with a download button with the form name. Click on the form to download it. It will open in your default PDF editor. Be sure to save it to your files. You can also close this window to download this form later.
If you close this window, the form is still available to download. Pending downloads will appear in your toolbar beside notifications.

You'll see page-separated forms for every employee (W-4) or contractor (1099) you paid within the chosen year. You can download them as a PDF, or just print them out.
Making changes to employee forms before printing
There is still some information you can change before printing year-end forms, including:
- Updates to employee information, like their home address or phone number
- Items already listed on 2025 year-end adjustments
But other changes will result in an amended return (Form W-2C), including:
- Contributions
- Taxes
- Pay type
- Pay amount

Onpay uses payroll data to produce year-end forms. Information about payroll processed or paid outside of OnPay will not appear on year-end forms generated by OnPay.
