Choose your year-end form delivery option by January 14, 2026
If no selection is made by this date, forms will be delivered by the same method selected for the 2024 tax year. If your company started with OnPay in 2025, the default option is "Self-Print."
Delivery options for year-end forms
Self-print
This option comes at no extra fee, and lets you to manage the printing and distribution of these forms on your own. Forms can be printed right in OnPay on plain paper. Learn more about how to self-print.
- Download year-end forms from OnPay
- Print these forms on 8.5"x11" printer/copy paper, using a home or office printer
- Distribute these printed forms to your workers, either by hand or by mail
- Hand-delivered forms must be received by 2/2/26*
- Mailed forms must be postmarked by 2/2/26*
*Because the typical postmark deadline of January 31 falls on a Saturday, this year's deadline is Monday, February 2nd.
Direct mail
Let OnPay manage the printing and distribution of these forms for you. We'll print, pressure-seal, and mail these forms directly to your employees and contractors.
- $10 per form
- Each worker's form is delivered to the address listed in their OnPay profile
- When choosing Direct mail delivery, check all employee and contractor mailing addresses for accuracy prior to 11 PM (EST) of Wednesday, January 14th, 2026
All employees and contractors paid through OnPay have lifetime access to digital copies of these forms through their OnPay portal, or in the OnPay mobile App.
IMPORTANT: DO THIS BEFORE YOU PRINT OR SHIP ANY YEAR-END FORMS
Verify that the information on every employee's W-2 and contractor's 1099 is correct using the W-2 Preview. It's a single report that shows you the W-2 and 1099 information of every worker you paid during the year, to make it easy for you to confirm or change this information before sending any forms. This is a recommended audit at the end of each year.
Has the employee's home address changed?
If an employee's home address is incorrect on their W-2 because it has changed during the year, this does not require any correction on their Form W-2. However, if you've selected the "Direct Mail" delivery method, note that forms are shipped to address as listed in employee profiles in OnPay.
Selecting your delivery option
When you log into OnPay, you'll see a request in your dashboard to "Confirm Year-End Options". Select your preferred method, and click Confirm Option.

Making changes to your selection
You can change your selection for 2025 form delivery options at any time before the deadline.
Deadline: January 14, 2025, at 11:00 PM EST.
Making changes to employee forms before delivery
There is still some information you can change before printing year-end forms, including but not limited to:
- Updates to employee information, like their home address or phone number
- Items already listed on 2025 year-end adjustments
But other changes will result in an amended return (Form W-2C), including but not limited to:
- Contributions
- Taxes
- Pay type
- Pay amount
