Delivery options for year-end forms
Self-Print for free
Year-end forms are available for employees and contractors to download in OnPay. They will have lifetime access to these forms through their OnPay account. You can also download W-2s and 1099-NECs to print and distribute to your workers, personally. Forms can be printed right in OnPay on plain paper (in single-page format). Direct Mail Service - $9.99 per form
OnPay will print, pressure seal and mail documents directly to your employees and contractors, at their address as it is listed in OnPay. Workers typically receive their year-end forms in the mail between January 24th-31st.
When choosing Direct mail delivery, OnPay will print, pressure seal, and mail these forms directly to your W-2 employees and 1099-NEC contractors, using the address entered in their employee profiles. To ensure that each form is to be delivered to the correct address, be sure to check all employee and contractor mailing addresses for accuracy prior to Friday, January 5th, 2024.

Pricing FAQs
Will I be charged for employees on my payroll, even if they're paid $0?
Your monthly bill is based on the flat rate, plus the per-employee fee for each employee or contractor that is included in at least one pay run during the billing period. Even if a worker has no entered hours or earnings, including them in a pay run will count toward the per-employee fee.
It's recommended to review the employees listed in the pay run, and to make sure that only the employees who should receive a paycheck are selected by "checking" or "unchecking" applicable employees. This will improve the accuracy of payroll reports, while avoiding unnecessary added costs.
Will cancelling a pay run cost anything?
There is no fee for cancelling a pay run. Once processed, pay runs can be cancelled until 11:30 pm on the business day before the payroll funds are to be drafted. After 11:30 pm of the day before, a processed pay run may not be able to be cancelled.
Can I really run payroll as many times as I want at no extra cost?
Yep! Your monthly base fee never changes from month-to-month, and the per-employee fee applies only once, per employee, per month. For example, if you have one employee, you could pay them monthly, semi-monthly, bi-weekly, weekly, even daily, but you're still only paying one employee that month, so your bill would still only be the base fee + 1 employee.
Is there any special pricing or discounts?
While we're unable to offer student or other discounts, we never charge for extras like tax filings and payments in multiple states, off-cycle runs, or run cancellations.
What ways can I pay employees and contractors?
Pay workers however you want, whether by direct deposit, debit cards, or printing your own checks. You can even pay different people in different ways in a single pay run at no added cost.
Are employees able to see their pay online?
Employees and contractors have lifetime access to their pay stubs, as well as year-end forms through a self-service portal.
