How to download files and forms

OnPay offers smart download storage, so you can download files to print, share, or store on your computer for your records. OnPay gives you lifetime access to all payroll tax forms, even if you no longer use us for payroll. This means that your payroll tax forms will always be available to you in the cloud.

 

Downloading files

You can download reports, letters, forms and files created in OnPay.

For this example, we'll create a printable batch of all employees W-2s.

When you click to download any printable file, a new window will appear with the file name. Click on the file name to download and open it in your default PDF editor. There, you can save or print this file.

You can also close this window to download this file later.

Viewing previous downloads

If you close the download window before downloading, the file is still available in your toolbar beside notifications. Click download_button.gifto open the file in your default PDF editor.*

*If you do not have a PDF editor installed, we recommend Adobe Acrobat, but any PDF editor will allow you to print files. Most web browsers, like Chrome (OnPay recommended), will include an online PDF reader. If this is the case, opening a file will automatically present it in a new tab in your web browser.

 

Printing an organizing files

You can download or print files using your web browser's built-in PDF editor, as well as by using Adobe Acrobat or Apple Preview. Printing will allow you to keep a physical copy. You can also organize files in your computer hard drive. Because redundancy is the best way to ensure important information isn't lost, it's recommended to backup all hard drives that contain unique information like tax forms. This is also why you have lifetime access to all payroll tax forms in OnPay.
