Set up a time off policy
The first step is to create at least one time-off policy in OnPay. Most companies have multiple policies, depending on how the time off of work is to be used, like paid sick or vacation time. Once created, you'll assign these policies to the appropriate employees, so that we'll know how to calculate earned time off and subtract time used. A policy can apply to your entire company, or to a specific department or position in the company level.

Assign policies to employees
The next step is to assign the policies to each employee. If they already have a balance of earned time off, you'll be able to enter this balance here, as well as their accrual rate and anniversary date.

Employees request time off
Employees can request their time off right in their OnPay employee portal. We'll let them know right away when their manager responds to their request, so they can plan their time without having to reach out to you.

Review, approve, and message
The final step is approving or dismissing the request, and messaging this response to the employee. We'll send them an email to let them know you've responded to their request, with a link to see it in their employee portal. You can even leave a comment explaining why their request couldn't be approved or wishing just them the best during their time off.
