In HR, eSignature Templates can be customized using smart fields to help you get employee signatures on important forms like NDAs and consent forms, work-from-home policies or other workplace agreements, harassment and non-discrimination policies — You can even create custom offer letter templates for candidates to electronically sign and return to you, all in OnPay. Document templates can be added to OnPay's employee onboarding workflows, and we'll even help you audit who's signed their document, and who hasn't!
Getting Started
In the HR tab, click Documents, then eSignature Templates. Click Create New eSignature Template, found at the top of your list of templates.
You can also click the blue (+) in the bottom right.
Template basics
Give this template a name, and add a template label. If the template you're making is an item you've already added to a File Checklist, you can select it's label here.
Otherwise, you can type to create a new label.
Template content
You can type to draft your document, or copy/paste text you have from an existing version, and add smart fields to generate personalized eSignature documents for employees to sign and return.
Formatting and smart fields
In the format panel on the right, you can adjust text style and size, add an image, logo, or custom letterhead preview your document, add a page break, or insert smart fields.

Smart fields
Smart fields reference information in your OnPay account to personalize documents for each recipient. To insert a smart field, click where you'd like the smart field to appear, delete any placeholders, and choose a smart field from the format panel.
Click Continue in the format panel when you’re ready to sign and create.
Sign & Create
This step lets you add a digital signature in the document. Enter your title, and your name, then sign in the box with your mouse, or stylus. You can add multiple signatures, for use in other eSignature Templates.

If you're creating an offer letter, we have a templatizer that does a lot of the writing for you. Just answer a few questions about your business, and we'll create a professional offer letter, including smart fields. You can make changes and further customize it as needed.

Auditing File Checklists
Go to HR>Manage Workers>Audit, and select the "Employee File Checklist" from the menu.
Additional items included in an Employee File Checklist are listed in the header of the Employee File Audit.
To add more items, click Manage File Checklists, and select Edit from the checklist's action menu.
Items in File Checklists appear as the table header FIle Audit.
