Respond to time off requests in HR

With the HR add-on, you can approve and dismiss employee time off requests in OnPay. 

This article covers managing PTO with the HR add-on. If you haven't already, you'll first need to set up a time off policy, and assign it to your employees

New request notifications

You'll be notified of new time off requests by email (unless disabled), as well as in-app.

 

Email

When employees request time off in OnPay, you'll receive an email notification about the request. You can follow the link to log in and respond to the request.

 

Dashboard notifications

You'll also be notified of time off requests when you log into your company dashboard. Click the Notifications bell in the top menu bar, and click on any PTO notification to view it.

 

HR dashboard

On the right side of your HR dashboard, you have a dedicated sidebar to see who's out, with pending requests, and navigation arrows to browse through the week. 

 

One-click response

Respond to pending requests by clicking the check to approve, or the X to dismiss.

 

Click the sandwich button to see details of a pending request, start a conversation, and more.

 

Responding to and managing all time off

Click Details, or go to HR>Time Off to see a card view of everyone who's out of office for the day, along with upcoming approved time off. Below these cards is a list of all pending requests.

 

Switch to Week View in the upper right to see approved and requested time off on a calendar.

 

Navigation arrows at the top let you browse approved and pending requests by day and week.

 

Conversation

Employees can leave a note when they request time off, which you'll be able to see in the request details. Click the sandwich icon to start a conversation.

 

You'll see their note, and can reply with a comment of your own by clicking Add Comment. This is a great way to ask for more information, or just wish them well before approving the request. 

 

Type your comment, and click Post

Note:
Adding a comment is always an option when dismissing a time off request.

 

Dismissing requests

If you click the X to dismiss a request, you'll have an opportunity to explain why the request can't be approved. We'll talk about employee notifications later in this article.

 

Employee notifications

Employees will be notified by email and in-app when you respond to their request. They can see the status of their request in OnPay, under Time Off.

They can also see their remaining time off balance, or cancel the request.
