What is QuickBooks Time?
TSheets is now QuickBooks Time — but it's still an easy-to-use, end-to-end time tracking system that helps you track hours, send accurate invoices, and save thousands of dollars each year. When you integrate QuickBooks Time with OnPay, you're able to seamlessly import employee hours and automate payroll.
If you aren't using QuickBooks Time, you can learn more or just sign up. And if you were using TSheets before it became QuickBooks Time, you can use your TSheets login credentials to set up this integration.
Integration setup
Click Company, Integrations, and Time & Attendance.
Click Connect To QuickBooks Time.
Click Link an existing account if you already have a QuickBooks Time (or TSheets) login.
Don't have a QuickBooks Time account?
No QuickBooks Time account? No TSheets account? No problem!
You can also create a Quickbooks Time account here.
Enter your information, agree to their terms, and click create.
Enter your QuickBooks Time username and click Continue.
Click Sign in with QuickBooks Time.
Enter your QuickBooks Time password, and click Sign In.
Click Allow.
If you have more than one company in OnPay, or are an accountant or bookkeeper with multiple clients, you'll need to select the Client you wish to connect to this QuickBooks Time account, and click OK.
Assigning employees
For OnPay to properly import timesheet data from QuickBooks Time, all employees as well as paid time off codes in QuickBooks Time will need to be assigned to their corresponding employees and time off codes in OnPay.
Click Assign Employees.
Employees found in QuickBooks can be assigned using your OnPay Employees List. This tells Onpay and QuickBooks that this is the same person in both apps.
Note: In the above example, Jeremy's legal first name is Anthony, Melissa's last name is misspelled, and Sam is short for Samantha. The employee names do not have to match in order to map employees. This allows you to keep employee names as they are in QuickBooks Time.
We recommend only using legal names, as they appear on the employee's Social Security card, when entering employees for payroll in OnPay.
Assign each employee and click Save.
Assigning PTO
Click PTO and use the same process to assign your paid time off codes with pay types in OnPay.
You'll see your existing paid time-off types from QuickBooks Time listed on the left, each with its own menu to the right. Use these menus to select your payroll pay items in OnPay.
Note: For employee PTO balances to show on the check stub, the PTO policy needs to be programmed in OnPay. To set up a PTO policy in OnPay please read more here.
