If your employer uses OnPay for time tracking, you can clock in and out for work using the OnPay mobile app on your smartphone, but that's only the beginning.
You also have access to:
- Track your on-the-clock hours using weekly time cards
- Add comments your manager can see and respond to
- Fix missing or incorrect punches
Time card entries
Each time you clock in and out, you create an entry in your time card. These entries are used to calculate the total hours worked (including any overtime hours) for each week. These totals are then automatically applied to your paycheck, so it's important to review time cards periodically, to make sure everything looks correct.
Viewing time cards
In the OnPay mobile app, tap Time in the bottom menu.
Select the pay period
When reviewing your time card, start by making sure you're looking at the right pay period. The "Pay period" is the span of time a paycheck is for. Below the blue button to clock in, you'll see a menu to select the pay period you want to view. Depending on how frequently you get paid, a pay period may include entries from multiple weekly time cards.
Time card overview
At the top of your time card, you see your total hours for the period. If this total doesn't look right, you may need to make an adjustment to your time. For each day in the period, you’ll see your start and end times, with icons for manual entries, breaks, and comments.
Warnings
A warning will appear when a punch is missing. This warning is usually triggered by not clocking out to end a shift, or by not ending a break when returning to work during a shift.
In the above example, an employee clocked in at 10:00 AM on Monday, but didn’t clock out to end their shift. If your time card has a warning like this, you’re able to edit your time to make a correction. Your manager can see when you’ve made a change to your time card.
Editing time cards
Tap the row for the day you want to add or edit your time for. To edit existing hours or add breaks, tap the hours field. If no hours have been entered for the day, or if you need to add a second shift to the day, tap the (+) button.
Start by tapping either the "Clock In" or "Clock Out" field to adjust the start or end time of your shift, or tap Add Break to add a paid rest break or an unpaid meal break. On the clock face, tap the hour, then the minute, then select AM or PM.
Using a keypad
Tap the keyboard in the lower left to use a number pad instead. Use the standard 12hr format, with a leading zero for hours 1-9, followed by an “A” or “P” to indicate “AM” or “PM”. (ex: 01:00 PM)
Tap Ok to save your entered time.
Tap Create when you’ve finished updating your time for this day.
A "Manual Entry" icon will appear after you've edited your time. If you need to communicate the reason for this change to your time card, tap the Comments icon to add a note for your manager or supervisor.
Adding comments
Comments are useful in situations where you have a question about your time card, or need to make a note about your punch. Managers can also add comments to your time card.
Tap the "Comments" icon type your message, and tap Post.
Your manager is notified when you post a comment on your time card, so they can read your comment, and take any action needed to fix your time, or just send a reply.
You can see your manager comments in your time card, timestamped with their name. Most recent messages appear at the top.
Once a pay period has been closed, you can no longer make changes to your time card. You can still view historical time cards for closed pay periods.
Viewing historical time cards
You can use the Pay Period menu to view historical time cards for any previous pay period. Pay periods that have been closed by your manager before processing your paycheck cannot be edited.
