Accessing client accounts as an Outside Collaborator - Accountants and bookkeepers

As an Outside Collaborator in OnPay, you have the power and flexibility to manage client accounts the way you want. When you add a new client company to your partner dashboard, you will automatically be granted access as an Outside Collaborator with all permissions enabled.

 

Levels of access as an Outside Collaborator

There are a few settings that a company can use to manage what outside collaborators can do within OnPay. 

All Outside Collaborators can view and edit employee information, run reports, create onboarding workflows, and more.

Additional access can be granted to allow an accountant/bookkeeper organization to: 

  • Add and remove other Outside Collaborators (learn how)
  • Approve pay runs

Logging into a client's account

Click Companies.

Click Launch for the client to which you would like to review your access. This will take you to the company dashboard.

The company dashboard

In the company dashboard, you can view employees, create onboarding workflows, run reports, even run payroll as if you were the owner yourself. The company owner can use permissions to limit your access in OnPay, so it's advised to confirm you have the accesses you need in order to help your client. We'll cover viewing your current permissions next.

Viewing your current permissions

Click Company. This will take you to the My Company tab.

Scroll down to the "Accountant/Bookkeeper" pane, and click to expand.

Here, you will see what permissions the company owner has enabled for your organization. In the below example, the client company has enabled permissions for the accountant organization to approve pay runs and to add and remove other outside collaborators.

If you do not have permissions enabled and need to request access, please reach out to the Owner associated with your client's OnPay account. They can update your access in just a few clicks

Trouble logging in?

Your password can be reset by clicking Forgot Password.

If you have Multi-Factor Authentication enabled for your account, but you don't have access to your authenticator, or are otherwise unable to access your account, call us at (877) 328-6505, between 9AM-8PM EST, Monday through Friday, for help.

As a reminder, never share your login credentials or MFA code with anyone. OnPay will never ask you for this information.
